Document Conversion (PDF )

PDF/A as standard archiving format...

PDF/A is the established industry-wide format for long-term archiving of documents. However, in most SAP® archives, documents are still stored in other formats like TIFF and PDF. For PDF, different versions have been standardized. The same is true for the TIFF format, which can be differentiated between Single Page TIFF and Multi Page TIFF format, for example. One uniform document format PDF/A has the big advantage, that all documents can be displayed using one single PDF viewer.

Savento has developed a solution package for the unification of document formats to PDF/A. This conversion solution is integrated into SAP® and has been optimized regarding the following requirements:

  • Ease of use by the customer with only a short instruction
  • Flexible selection and control of the conversion process
  • Maximum security and traceability due to robust programs and extensive logging
  • Support for multiple operating system platforms
  • High speed conversion
  • No dedicated server required

A separated problem is, for example, the Single Page TIFF format, as it has been used by many archiving solutions in the past. Here, the individual pages of a scanned document are stored in separated components in the archive. This means, that an appropriate viewer is required to be not only able to view the first page of the document.

This solution package is integrated into SAP® which means that after the conversion, the required ArchiveLink® connection entries are adapted. As a consequence, users automatically access the PDF/A versions of the documents. Access to the documents in the original format can be preserved optionally.

Easy conversion!

The conversion procedure consists of a SAP® component and the Savento Document Converter which can be run on an average workstation outside of SAP®. The conversion process is sketched in the following figure:
